Let’s be honest.

I use ChatGPT like a second brain.
Need a quick stakeholder summary? A draft sprint plan? A brainstorming prompt before a tough meeting?

“You are a senior project manager. Based on the following Jira backlog, break it down into a two-week sprint plan with priorities, risk notes, and meeting prompts.”
It’s not perfect. But it gets me 80% there, 80% faster.
2. Motion — The Calendar That Works for You
Motion is like a time-blocking coach with no emotions.
I dump in all my tasks, meetings, and goals. It reorganizes my schedule automatically, balancing deep work with urgent fires.
Perfect for PMs who wear 5 hats and still need to think clearly.
I use it every Monday morning to lay out my week.
It’s my focus guardrail.
3. Capture Meetings — However Works for You
Meetings are messy. Notes get lost. People forget what they promised.
I’ve tried Otter.ai, and I liked it — but it didn’t support French when I needed it.
I tried Fireflies, which was better.
And now? I just use the Samsung Voice Recorder on my phone — it detects the language automatically (French or English), and transcribes accurately within seconds.
But here’s the real unlock:
Microsoft Teams — which many of us already use — can record your meeting, generate a transcript, and export it.
Then, I drop that transcript into ChatGPT, Copilot, or the AI tool of my choice and ask:
“Summarize this meeting and extract key decisions and action items.”
It works amazingly well — especially when you’re tight on time and want an executive summary that’s actually useful.
Bottom line?
There’s no one app to rule them all.
It’s about using what you already have smarter — and letting AI help you think more clearly, not just work faster.
